Job Description

Division: Projects

 Manage and utilize document control systems and software (Aconex)
 Ensure documents and drawings are accurate, up to date and that files are stored appropriately
 Set up an electronic library system for the management of technical documentations
 Develop and maintain document control processes for the efficient management and
 recording of All project documentations
 Develop electronic filing and archive system and technical library for easy to issuance,
 storage, retrieval and management of documents to internal and external customers
 Custodian for Project SOP and QHSE documents that must be controlled and kept for audit/internal
 Track and distribute controlled documents, using the doc control procedures, format and distribution matrix
 Requisition of office supplies for Project Department
 Coordinate and administer the distribution of all incoming and outgoing documentation and paperwork to ensure controlled delivery to person(s) responsible.
 Screen all incoming and outgoing documents for submission to Document Control for their proper handling.
 Routing various documents to different Engineers and department for proper handling.
 Sort, open and distribute incoming mail manually and electronically
 Scan, index incoming and outgoing mail electronically
 Distinguish document handling by document type
 Mail coordination activities between departments and team members
 Establish and maintain various files developed for the project
 File and maintain documents in permanent document archive
 General clerical functions to maintain a seamless office environment


Desired Candidate Profile

Requirements:

 Bachelor’s Degree /Diploma or Quality related qualifications
 Previous experience as a document controller is essential
 Experience and working knowledge of using Aconex
Skills:
 Mature, proactive, takes initiative and well organized
 Systematic and able to work under pressure
 Meticulous and able to follow through with tasks promptly
 Able to work independently as well as in a team
 Proficient in MS Office applications (Excel, Words and PowerPoint)
